Here at People Centred Psychology and Allied Health, we value being an industry leading practice that provides high quality assessment and treatment to individuals who are experiencing mental health difficulties. Our team are supported to work with client groups they have a passion for, and whom they have experience and skill in treating.

We deliver our services with thoughtful warmth and care, and are informed by evidence, practice policy, and consideration of the needs of our clients. We understand that at times clients may have complaints related to clinician fit, practice policy, and reasonable boundaries. Our clients have the potential to be our greatest teachers, and we welcome and value their feedback.

We are committed to operating in accordance with current best practice and relevant legislative standards. The following policies have been formulated in accordance with and in consideration of the standards and requirements of our governing bodies, and all our policies are written with best practice in mind - prioritising the services we provide to our clients.

Cancellation Policy

Person Centred Psychology & Allied Health is committed to providing the highest quality of care to everyone involved in our practice. This means we take care of our clients, those waiting to become clients on our waitlist, and our team of psychologists & dieticians. 

All of our policies are oriented around a synergy of needs. We firmly believe that by taking exceptional care of our clinicians they will be in the best position to take exceptional care of you. And if you and the practitioners working in our South Melbourne practice are cared for, the business remains resilient to continue its care of our local community.

Our commitment to you, the client, is that our psychologists & dieticians provide up to date, evidence based treatment. The number of clients your practitioner cares for at any one time is limited and additional time and space is allocated in your practitioner’s diary, allowing them to be prepared and present for your appointments.

Our cancellation policy is designed to dissuade clinicians from booking too many clients, and clients from booking appointments they are unable to commit to regularly attending. If you find yourself regularly tempted to cancel your appointments we suggest discussing this with your clinician so that you can together understand what is contributing to this. There may be an opportunity to celebrate having achieved your goals together and plan to collaboratively end therapy. We love feedback and encourage you to let us know if there is something that you would like to be different in the care you are receiving to support your appointments being helpful for you.

Fees

  • Cancellation or reschedule within 24-48 hours of your appointment time will incur 50% of the appointment fee.

  • Cancellation or reschedule within 24 hours of your appointment time will incur the full (100%) appointment fee.

  • Failure to attend an appointment will incur the full (100%) appointment fee.

If you are still available but too far away to get to the clinic in time for the start of your appointment, to avoid missing out on your appointment, you are welcome to request to switch to telehealth. Please contact us via email or phone to arrange. You can do this up until the start time of your appointment, without incurring a fee.

If attending via Telehealth or phone consultation, your psychologist will allow 15 minutes for you to join the conversation or contact our team. If you fail to arrive in this time, the appointment will be considered missed.

The fee will be settled at the time of cancellation or failure to attend using our secure payment system. Please speak to reception if you wish to use a different payment method. Invoices not settled by the above means are required to be paid within 48 hours of time of issue.  

In exceptional (but not unexpected) circumstances, the cancellation fee may be waived. Please discuss the reasons with reception or your practitioner.

Please be advised, cancellation/missed appointment fees are not eligible for a Medicare rebate. If you have any questions or queries regarding this policy, please speak with your practitioner or reception. Thank you.

Privacy and Information Handling Policy

Your Privacy Matters to Us – Person Centred Psychology and Allied Health Privacy Policy

When you come to see us, we want you to feel safe, respected, and supported. Part of that commitment is looking after your personal information with care. We treat your privacy as an important part of your wellbeing, and we follow the professional standards and legal requirements set by the Psychology Board of Australia, Dietitians Australia and relevant laws. This means your information is handled with respect, kept securely.

Why we collect information: We use your personal information to guide your care and to meet our professional responsibilities as Psychologists and Accredited Practicing Dietitians. It ensures we can provide services that are safe, effective, and tailored to you, while also meeting the standards required by law and our professional Codes of Conduct. The information we gather and record is a necessary part of the services provided to you.

What information we collect: In addition to information such as your contact details your records will include the information shared during assessments and treatment, correspondence between your practitioner and other members of your treatment team, or between you and your clinician and/or our supportive reception team. Your records will also contain a summary of the work completed during your appointments.

Confidentiality: Much of what you share with us stays private. We take confidentiality seriously, and we will not share your information beyond what is required to support your access to Medicare subsidised treatment or other third party payment providers, or when you have consented to regular communication between your professional or personal support teams. We will always explain this clearly so you know what to expect, and you are encouraged to ask questions of your clinician at any time during care to ensure you remain confident that you understand. Exceptions to Confidentiality

There are times when your psychologist may be ethically or legally required to release your information. They will make all reasonable efforts to gain your verbal consent and keep you informed, though will be required to proceed with releasing necessary information if they are not able to obtain your consent, such as:

·       When the psychologist discloses information because they believe you or someone else is at risk of serious harm.

·       When a court requires information by issuing a subpoena, or providing information is otherwise required or authorised by law.

·       When it is required because the psychologist must make a mandatory report on a concern.

Your rights

·       Accessing your Information: You have the right to ask to see the information we hold about you, and to request corrections if something is not accurate, subject to the exceptions in the Privacy Act 1988 (Cth). You should discuss this request with your clinician or submit a formal request to contact@pcpsychology.com.au. All requests to access or correct files will be managed in a timely manner, within 30 days where possible. Please note that your clinician may ask to have an appointment with you to discuss the content of the file prior to any changes or releases occurring.

·       Withdrawing your consent: You can also change your consent about sharing information at any time, unless the law requires otherwise. Please note that you can not withdraw consent for a service that has already been completed.

Storage: Your records are kept securely, using systems that are designed to protect against unauthorised access, and which meet the Australian Privacy Principles and Australian digital security standards.

Security: Person Centred Psychology and Allied Health has a thorough data-breach policy and procedure, should the unlikely situation arise where your personal information is accessed in an unauthorised manner. Our procedure includes a commitment and plan to do all reasonably possible to minimise the risk of serious harm to you and others in the community.

We take feedback very seriously and aim to resolve all concerns promptly and fairly.
